Staff Guide

Use this guide to issue points, redeem rewards safely, and handle routine customer support in the staff portal.

1. Start Your Shift

  1. Sign in with the account you created from your invitation email.
  2. Check the cards and codes you are allowed to manage.
  3. Confirm you are working in the correct club before issuing points or rewards.
  4. Ask a manager for help if anything in your account looks wrong.

2. Award Points Correctly

  1. Find the correct member and card before posting points.
  2. Enter the approved amount or points value for the transaction.
  3. Add notes or receipt details when your process requires them.
  4. Review the total before saving because posted transactions affect balances immediately.

3. Redeem Rewards Safely

  1. Verify the member identity before redeeming a reward.
  2. Check that the claimed reward matches the reward being fulfilled.
  3. Complete the redemption only once and confirm the customer receives the benefit.
  4. If something looks unusual, stop and ask a manager before finishing.

4. Use Redemption Codes And Member Lists

  • Generate redemption codes only when your workflow calls for them.
  • Treat codes like one-time operational credentials and do not reuse them.
  • Use the member list to confirm recent activity before helping a customer.
  • Report repeated code or balance issues so managers can review the history.

5. Daily Staff Checklist

  • Use only your own login and never share passwords.
  • Keep notes clear enough for a manager to understand what happened later.
  • Escalate unusual reward claims, large point adjustments, or account mismatches.
  • Log out when your shift ends, especially on shared devices.
